Notification preferences

Ultrathink can notify you about important events such as completed AI processing, sync issues, and system updates. You control which notifications you receive and where they appear.

All notification settings are managed from Settings > Notifications.

Types of notifications

Ultrathink sends notifications for the following events:

Notification typeWhen it fires
AI processing completeAn entry's AI analysis (summary, classification, relationship detection) has finished
Sync statusA sync operation completes or encounters an issue across your devices
ErrorsSomething goes wrong during capture, processing, or saving
System updatesNew features, maintenance windows, or important announcements from the Ultrathink team

AI processing complete

When you capture an entry, Ultrathink processes it in the background. Depending on the entry type (link, PDF, screenshot, AI conversation), processing can take a few seconds to a couple of minutes. This notification lets you know the entry is ready to review with its full summary, topics, and related entries.

Sync status

If you use multiple devices or platforms (web app, browser extension, iOS app, desktop widget), sync notifications confirm that your data is up to date. They also alert you if a sync operation fails, so you can retry or check your connection.

Errors

Error notifications appear when something unexpected happens. Common examples include:

  • A web page could not be fetched during capture
  • AI processing failed for a specific entry
  • A file upload exceeded the size limit

System updates

The Ultrathink team occasionally sends notifications about new features, scheduled maintenance, or important changes. These are infrequent and focus on information that affects how you use the product.

Where notifications appear

Ultrathink currently delivers notifications through in-app alerts, with browser notifications planned as a future addition.

In-app notifications

In-app notifications appear as a badge on the bell icon in the top-right corner of the web app. Click the bell to open the notifications panel, which shows a chronological list of recent alerts.

Each notification in the panel includes:

  • A brief description of the event
  • A timestamp
  • A link to the relevant entry or settings page (where applicable)

You can mark individual notifications as read or clear all notifications at once.

Browser notifications

Browser notifications are coming soon and will require the desktop widget. The settings page shows this as a planned feature. Once available, browser notifications will use your operating system's native notification system to deliver alerts even when the Ultrathink tab is not in focus.

Configuring notification preferences

You can selectively enable or disable each notification type.

Step-by-step configuration

  1. Open Settings > Notifications.
  2. You will see a list of notification types, each with toggle switches.
  3. Toggle each type on or off depending on your preference.
  4. Changes save automatically.
WorkflowRecommended settings
Active researcherAll notifications on. You want to know the moment an entry is ready.
Casual userAI processing and errors on; sync and system updates off. Keeps things quiet without missing important events.
Focus-heavy workAll notifications off during deep work; re-enable when you surface. You can also use your operating system's Do Not Disturb feature.

Quieting notifications during focus time

When you need uninterrupted concentration, you can temporarily suppress all notifications.

Using the workplan focus mode

If you use the Workplan's focus mode, notifications are automatically suppressed while focus mode is active. Once you exit focus mode, any notifications that arrived during that time appear in the in-app panel so you do not miss anything.

Browser-level controls

You can also use your operating system's Do Not Disturb or Focus features to suppress browser notifications without changing anything in Ultrathink. This approach is useful if you want to silence notifications from all applications at once.
